BARTER EVENT PROPOSAL & AGREEMENT FORM

Thank you for your interest in partnering with Galerie Sara Lily Perez.

 

This barter form enables creatives (DJs, performers, workshop leaders, etc.) to propose an exchange: one performance or service at a gallery opening in return for hosting a public event at the gallery during business hours.

ELIGIBILITY CRITERIA

- You must offer a performance or service that supports one of our official opening events.

- Your event must align with our gallery's aesthetic and mission.

- Events are hosted during business hours only (Tue–Sat, 13:00–19:00).

- Evening slots are only available for an additional €180 security fee.

- Barter events must be free or donation-based unless otherwise agreed.

- If your proposed event involves ticketing or sponsors, these must be reviewed and approved by the gallery in advance.

BARTER TERMS

● Your Contribution: You must perform or offer a service (DJ set, live painting, poetry reading, etc.) during one of our gallery openings. This must be approved and match our program quality.

● Your Event Slot: One-time access to our venue for a public event (max. 3 hours) during business hours.

 

Ticketing Structure:

○ Free or donation-based: no revenue share required.

○ Tickets priced up to €10: 70% (You) / 30% (Gallery)

○ Tickets priced €11–20: 60% (You) / 40% (Gallery)

○ Tickets priced over €20: 50% (You) / 50% (Gallery)

○ All paid events must use the gallery's ticketing system or provide guest email list for CRM.

○ Sales & Refreshments: Selling food or drink is not permitted. Complimentary refreshments are allowed with prior approval. Sponsors must be disclosed.

● Setup & Cleanup: You are responsible for all equipment, staffing, setup, and post-event cleaning. The venue must be left as found.

● Insurance: Proof of liability insurance is required at least 7 days before your event.

● Host Responsibilities: Event organizers must be present throughout their event and are fully responsible for welcoming, monitoring, and managing their guests, ensuring respectful use of the gallery space at all 1 of 4 times. Organizers must also communicate and enforce a respectful code of conduct. Disruptive guests may be asked to leave.

● Photo/Video Documentation: Documentation is permitted but must not disrupt operations. Galerie SLP retains the right to use event documentation for its own communications unless otherwise agreed.

● Environmental Responsibility: We encourage low-waste, eco-conscious events. Please avoid single-use plastics and limit printed materials.

● Space Use Restrictions:

○ Walls may not be altered, nailed, taped, or painted.

○ No storage space is available before or after your event.

○ No excessive noise outside permitted hours.

CANCELLATION & POSTPONEMENT

● Galerie SLP reserves the right to cancel or reschedule any event due to unforeseen circumstances, programming needs, or non-compliance with requirements (e.g., documentation, insurance).

● Organizers may request a postponement with a minimum of 10 business days’ notice. Only one reschedule is permitted per agreement.

VISIBILITY REQUIREMENTS

● All promotion must include: "Presented in partnership with Galerie Sara Lily Perez"

● At least one social media post tagging @galerieslp must be made before the event.

● Gallery logo must be visible on all flyers or digital promotions.

● Include one physical or digital gallery info element on-site (provided by us).
